Estimates and Invoices, Written Where the Work Is
Small contractors lose jobs on slow paperwork: the site visit is Tuesday, the estimate goes out the following Monday, and by then the customer has signed with someone else. From site visit to sent estimate
- Customers in one list. Keep names, phone numbers, emails, and addresses together, and link each customer to their jobs, estimates, and invoices. Each one is marked as a lead, active, or past customer based on their history.
- Line items from your own cost library. Save the items you price again and again — with a default unit and unit price — and add them to an estimate in a tap. You can also type line items by hand or build one from several cost components.
- Tax, notes, and validity. Set a default tax rate and validity period once in settings; every new estimate starts with them. Subtotal, tax, and total are calculated for you.
- A PDF with your logo. The document carries your company logo, phone, and email. Share it from your phone or computer, and find earlier versions in the PDF history.
Know where every estimate stands
Each estimate has a status — draft, sent, accepted, declined, or completed — so the list tells you which ones need a follow-up call. Duplicate an old estimate to price a similar job, and link an estimate to a job so the scope stays with the work.
Turn an accepted estimate into an invoice
When the job is done, create the invoice from the estimate: the customer and line items carry over, so nothing gets re-typed. Invoices get their own number and a due date, with a default payment period you set once. Mark each one as sent, paid, overdue, or cancelled, and the customer's page shows what has been billed and what is still outstanding or overdue.
Connected to the rest of the job
New estimates and invoices show up on the job's feed, next to the photos and daily reports from the field. The hours your crew logs through time tracking sit on the same job, so you can compare what you quoted with what the work actually took.
